What we collect

• Information you give us: for example name, email, phone, organisation and your message, when you use our contact form or CoachBot, or write to us.

• Technical data: IP address, browser and device information, and page interactions, collected by our website platform. Non-essential cookies are set only with your consent via the cookie banner.

CoachBot (AI chat assistant)

• Before you start chatting, we ask for your consent. Your messages are then processed by OpenAI to generate answers. OpenAI does not use them to train its models and keeps them only for a limited period.

• If you ask CoachBot to pass on a contact request, and only after you confirm it, your details and a short summary are stored in our contact records (Wix) and emailed to our team. You receive a confirmation email.

• Please do not enter confidential, health or other sensitive information.

• CoachBot is automated. Its answers may be inaccurate and are not professional advice. It makes no decisions about you.

Service providers and transfers abroad

Wix.com hosts this website and stores contact data. OpenAI powers CoachBot. Both process data outside Oman and the EU, including in the USA. We use them only with your consent and on the basis of data processing agreements with safeguards recognised under the GDPR, such as EU Standard Contractual Clauses.

Retention

We keep enquiry data for up to 24 months after our last contact, unless a business relationship or legal obligation requires longer. Chat messages without a contact request are not kept by us.

Your rights

You may access, correct, delete or receive a copy of your data, object to or restrict its use, and withdraw consent at any time, with effect for the future. Write to info@xpot.ai; we respond within one month. You may also complain to the Personal Data Protection Department of the Ministry of Transport, Communications and Information Technology (Oman) or, in the EU, to your local data protection authority.
